  • FAFSA Chat – You can add school codes and check if the school codes have been added, or check for verification via FAFSA chat.
  • UEH Probation – UEH probation will NO LONGER prevent a student from receiving a tablet.
  • Signed PCEs and ARM – Please separate the PCE from the ARM and make sure they are right side up before uploading them to schooldocs.
  • SNT Flag and SNAP – If the SNT Flag states “Yes” on Page 3 of the ISIR, then there will be no need to make any corrections to SNAP on that ISIR. No matter the verification code, if SNT flag is “Yes” then corrections to not need to be made. Example below:SNT
  • NSLDS – We need to look at the loan details in NSLDS to see if there’s a date of delinquency for Direct Loans. This will not be visible with FFEL loans, so a phone call would be necessary to the loan servicer to see if they’re delinquent or not – that’s really the only way to tell. FFEL loans also follow different guidelines – the default can happen at 270 days delinquent vs 360 days, and they will also require paperwork for a forbearance vs. a verbal forbearance through a conference call.The best advice I can give is to encourage the conference calls with loan servicers if they know they’re delinquent on Direct Loans and then to check on the status with FFEL loans.
  • Fully Signed EAs – Dr. Alan Hansen will not be signing EAs until the POG is in and verified. This being said, you are able to turn in a file pending POG/Final EA and it will have to have both in order to be fully packaged.

  • FAFSA Correction Form – The only time you CANNOT use this form is when you have a Dependency Override, Professional Judgement, or Marital Status change WITHOUT documentation. Get the documentation and you can use it.
  • Scholarship Deadlines ***UPDATE***– The deadline for scholarships is 11 days prior to the start. Thursday, Week 3 by Midnight!
  • ARM Payments – The guidelines distributed (5/3/16) are in effect and will be used by IU going forward. Please make sure you reference the email I sent out with the subject of, “New Eduplan Guidelines” for review. If you do not have this, please let me or your ADOFP know ASAP! The minimum payment for any ARM loan must be $25.00/month. The $25.00 payment will only be available to those who meet the criteria, so please make sure you familiarize yourself with those guidelines.
  • UEH Appeal Process – Students who start school with us on a UEH appeal (UEH Probation) will not receive a tablet for at least the 1st two modules. CFA will review the student’s GPA at the end of their 2nd module and if they are at a 2.0 GPA or higher, they will qualify for Title IV funds (including the 1st Pell Disbursement). If they are not at a 2.0 GPA by the end of the 2nd module, CFA will check again after the next module to see if they have a 2.0 GPA or higher. If by the end of the term (4th module) the student does not have a 2.0, the student will have failed the UEH probation and must be cash-pay.
  • Reentry Students Need to go to ROSLC – We cannot always trust what their lead screen says in CVue because it doesn’t always show the most current enrollment so check the enrollment tab and NSLDS to determine if it’s a returning student. There have been several that have made it to a 1st year planner then ends up needing to go back to ROSLC.
  • Dependents Other Than Child or Spouse – If a student’s household size is below poverty level, and they have a “Dependent Other Than Child or Spouse” then we need to verify no matter if they are selected for verification/low income or not.

  • CLA – Please make sure the CLA is the new version. It will fail audit unless it is the new one.jgjh

 

  • 16-17 UEH – We need college transcripts for years 12/13, 13/14, 14/15, and 15/16 in the file. This is for both loans and grants in these years.
  • Pending 16-17 ISIR Files– Please do not submit a file for audit pending a 16-17 ISIR correction. We must have the final in order to pass audit.
  • FAME Corrections for 16-17 – FAME corrected an error with all 16/17 ISIRs. Please check any 16/17 ISIRs you have pulled before today to check the information on them. Some came through with missing answers and amounts. You may need to print the ISIR again if this has happened.
  • Gender Question on ISIR ***UPDATE*** – If a female student doesn’t answer the gender question, we can correct it as an FP if we have a valid ID in the file. We do, however, have to wait for the new ISIR to come in before submitting to audit. The ISIR does not need to be selected for verification in order to fix it, we only need a valid ID.

  • In-Kind Support – Words from Ryan Perry, “a student cannot claim a child if he or the child is being supported more than 50% by the student’s parents. All other support given to the student, including the spouses parents, is counted as in kind support”.
  • Planner Changing ISIR Info – We cannot change anything on the ISIR unless we have agency proof. The number in the household and number in college can still be changed by the planner with a statement. Regarding the “Planner Changing ISIR Info”, this primarily relates to Child Support and Wages. SNAP can still be corrected with a statement for all Verification groups other than V6.
  • UEH Rollovers – If a student was approved for UEH or the UEH appeal process for a previous module, but rolls to the next, please have the planner email online.cfa with the final decision (“approved”) email correspondence, so CFA can update the hold group for the UEH student.We will be able to use the previous mod’s UEH paperwork for the file, but please make sure CFA is kept in the loop. Ryan has agreed to reply to the correspondence with an updated “approved” email to include in the file.
  • Determining Dependency Status – If a student is of dependent age, make sure you ask the right questions to determine dependency prior to completing the PCE, etc. This can save you a lot of time having to update paperwork.

  • GOOFF (Get Out of Fail Free)– An email has been sent out about this. You need 8 perfect files in a row to get one. If you fail a fail you can use it if you fix the file within 24 hours of it failing. See email from Dave (12/23/2015) for details.
  • PLUS MPNs – We cannot accept PLUS MPNs for Masters students. They must be a regular MPN.
  • Parent PLUS Form – Do not send this form if you haven’t actually talked to the parent. An explanation needs to take place with the parent so they know what they are signing. Be sure it is the parent signing the form.
  • UEH Appeals – We MUST do everything in our power to obtain transcripts and ledgers for the applicable schools listed. The appeal process is only for those who CANNOT obtain transcripts (school closure, etc.). Do not take shortcuts.

  • ISIR Correction – When compiling correction to ISIRs that were completed by the ACs, please only keep a daily total. Remove any corrections from the day before.
  • Clearing ASNRS – When you email CFA to clear an accounting note please CC the auditor who originally passed your file.
  • UEH and Adding Schools to Package Task – When you update a package task with UEH info please include which schools are needed to clear the UEH. Make sure this ends up on the “To Be Packaged” table as well.

  • In-Kind Support – Cannot be from student’s parents or from the other grandparents of the baby. A male student cannot claim in-kind support from the mother of the child. A female student can be independent if the boyfriend is providing in-kind support of her and the child. (This is approved by Ryan Perry)
  • Expired ID – If the ID or license is expired or expiring before the start date we need Kody’s approval to get it through audit.
  • SSC Receipt – Even if we have the receipt showing they are getting a new one we need the statement from them that they’ll send it in and Kody’s approval.
  • UEH With No Pell Used – CFA only requires NSLDS and the ISIR if selected for UEH and no Pell was used within the last 4 years. No need to get transcripts from the schools if NO PELL has been used within the last 4 years.
  • Prorating Loans Below Half-Time – Students ARE NOT eligible for Stafford loans if they fall below 9 credits in a single term. No need to prorate loans if below 1/2 time (9 credits).
  • EC Already Completed For Another School – If the EC has been done with another school within the year then these step can be taken to get our school on it:

  • Low Income and Children – If a person is claiming to support a child but make no mention of them anywhere in their statements it will fail audit. Make sure they mention the children somewhere in their statement. If everything makes sense then you’re good.

  • ARM – When sending an ARM approval for more than $25,000 and the student is employed please include their employer name on the email.
  • V6 – Make sure we are putting all of the information needed in the file and getting CFAs approval but more training on V6 will be coming.
  • UEH Denial Appeals – UEH denial appeal statement has to include that they understand the tablet and laptop will not be sent until after the first MOD
  • Cover Sheet in Docusign – If you are sending more than one document at a time please use the “Cover Sheet” so that it will link over to Schooldocs. If you don’t you will more than likely have to upload them all yourself.
  • Upgrades and Tablets – Upgrades do not receive a tablet UNLESS they would rather have a tablet than a laptop. If they would rather have a tablet than a laptop please let the auditors know that when submitting the file.
  • Masters and Tablets/Laptops – Master students do not receive a tablet or a laptop.
  • POG – Please ensure that all POGs (transcripts, diplomas, or any other proof) have the month and the year on them.

  • COD Screenshots- Auditors have gone over this a few times. Even if the loans are shown as canceled in NSLDS, they need the COD screenshots.
    • If the loan period end date ends within the last year in NSLDS, pull the COD screenshots. Erin has sent multiple emails on what’s required.
  • Delete duplicate forms out of CVue-  Auditors will start failing files for this if it’s not pointed out in the audit email and stated which ones need to be deleted.
  • Appointments-If you reschedule an appointment for any reason, you MUST make sure you notify the AC and ADOA.
  • Cover Page- When putting together your forms to send to students in docusign select “Cover Page” first then all of your forms will upload to Cvue themselves.  There were a lot of different combinations of forms being sent so it wouldn’t upload.  Selecting “Cover Page” first will ensure that all of the forms your student signs will upload. (SEE BELOW)

  • UEH- When a UEH approval is denied you can appeal the denial.
    • Get Statement from student that they are aware that a 2.0 GPA is required to be eligible and that there will be a delay in funding.
    • No funding will be ordered until the student passes their first class
    • PCE remains the same
    • Send appeal letter to Online CFA for second approval and put that with the UEH file once received
